One of my favorite best practices to share with small businesses is that you can do so much more (in many cases) by leveraging alternative options to hiring resources to get things done. In this ever-changing marketplace, you can outsource or delegate simple and complex challenges or functions in to achieve greater success faster.  

When you us alternatives to hiring employees, you have greater flexibility to get help when you need it and save money when you don’t.

Need Some Help Hiring Employees or With Alternative Resources?

Get access to the Hiring Manager's Blueprint: the 7 tep formula to find, interview and hire qualified candiates OR the alternative resources you can use to reduce overhead and still maintain or increase productivity.

1 – Hire Contractors or Consultants

There are valuable experts that you can engage to outsource key functions or projects. For example, I know several entrepreneurs that use web designers or social media consultants to manage their online presence. The key with using this alternative is being clear on what results you want to achieve, so that you can maximize the cost of hiring this type of contractor or consultant. Some of the recommended resources you can use include:

  • Virtual Staff Finder: www.virtualstafffinder.com
  • Freelancer: www.freelancer.com
  • Fiverr: www.fiverr.com
  • Upwork: www.upwork.com


2 – Hire a temporary worker from a temp agency

There are different agencies that have or will find different candidates with the expertise you need. This is a great solution, because the agency takes the risk and exposure for any employee challenges that arise. For example, when I was VP of Operations, we used temp workers. 

The great thing was that we could give day-to-day direction as needed and when one of our temps ended up with carpal tunnel, the temp agency dealt with the workman’s compensation and disability issues. They just sent us another person to help backfill the position. Whew! 

Although there is a markup on the cost of the hire, you can decrease that rate by payrolling. Payrolling just means that you found the candidate and want to have the person sing up with the agency and still have them work for you. Again, here you save yourself the potential burden, lawsuits and employment claims AND reduces the cost of the markup from the agency. 

  • Employment and Temporary Agencies such as: Randstad, Spherion Staffing Services, Great Bay Staffing Group (Do a search on employment agencies in your local area)
  • Recruiters or Headhunters: a good resource to find or get referrals for contractors or consultants


3 – Another strategy is to utilize a service provider or vendor

You can find several companies that offer the service and support to complete tasks, projects or a business you need.  

For example, the 1shoppingcart vendor (an email and online payment service) will setup all of the payment pages for all of the products and services a company provides. For a couple hundred bucks, you can have their expert setup everything within about 48 hours.

So, evaluate products and services that you are already using and see if they offer consulting services. 

Some examples might include:

  • Best Buy - where you might purchase office equipment and computers. Have their Geek Squad do the installations and software upgrades for your home office or business.
  • Constant Contact - has experts that will setup your email marketing campaigns
  • An HR Training Company - Might also provide HR Consultant to setup HR policies and procedures
  • Quickbooks Software - Might refer certified Quickbook experts or accountants you can use for your business

Re-evaluate how you leverage resources within your business to increase productivity and still keep you operating costs low

No matter what options you choose to get work done in your business, be sure to think about all of the different ways you have outside of hiring a part-time or full-time employee. Doing business differently can help you increase service, support and overall profitability of your company or within the organization.

There is no magic formula to do a better job of managing your time to get more done in your business. But you can try to find a few key strategies that you can use on a consistent basis to get more done and get better results.  

Today, I want to share with you my favorite strategies to help me stay on track. 

 

For example, if you go offsite to a client for the same simple tasks…perhaps creating a video or screen shots to walk them through how to solve simple issues, could be a solution. Not only could you handle that issue over the phone, it also frees you up to support more clients on a consistent basis.

Strategy #1 - Leverage Automated Tools to Increase Productivity

Find the most impactful area of your business that’s repetitive and find a way to automate the process or outsource that function. 

For example, if you go to a client's office for the same simple tasks…perhaps creating a video or screen shots to walk them through how to solve simple issues, could be a solution. Not only could you handle that issue over the phone, it also frees you up to support more clients on a consistent basis.  

Another example might be to use an online calendar to show availiity, book appointments and send automated email reminders. You can easily see how this would virtually eliminate back and forth trying to book apointments and it increases show ratios. You can even use this tool take payment as well.


Strategy #2 – Use my time & results formula PH²

All you need to do is identify important tasks or a project. 

  • List out all of the critical actions or tasks that need to be completed. 
  • Block out a couple of uninterrupted hours daily or at least 3 times per week to apply this strategy.
  • Focus intensely for the first 45-50 minutes on completing as many tasks for that particular project.
  • Then take a 10-15 minute break and get back to another power hours. Even if you don’t have two full hours, you can do one power hour on a daily basis. 


Try it consistently for 30 days and you’d be amazed at how much you can get done using maximum focus!  

Strategy #3 - Use the Google Platform as a Power Tool

Using Google Drive, Google Docs and more, can be a great opportunity to save time. Use Google drive to store and include documents that you consistently work on and share with other team members or partners. In addition, Google Docs is like using an online version of MSWord, MS PowerPoint and MS Excel.

The Google platform allows you to work on documents from any computer, with others and it includes the ability to see real-time changes made from different people authorized to make revisions.

No matter what strategies or tactics used, the key is to find ways you will use consistently. Make your plan, use focused time and leverage tools or systems to implement and get more done or maximum results.

But you still have to follow through, connect and convert that potential contact or prospect into a buying client or referral opportunity.  

With our minimal resources, as entrepreneurs, we have the powerful opportunity to leverage tools or systems to maintain a connection and build credible relationships that can ultimate turn into BIG BUCKS!

7 Strategies you can implement right away to turn your potential connections into buying customers

  • Stop viewing that “stack of business cards” as mere cards; they are actually PEOPLE! The people you meet are all potential opportunities to help change someone’s life in an area of your gifts and expertise. And vice versa.
  • Be intentional about the events you attend. The more targeted and consistently you go to events the more quality prospects and partners you will meet. Consider attending training events that include topics you ideal client wants to learn, rather than the typical Chamber event.  
  • Be prepared in advance with your follow up strategy. Before you walk out the door, establish a simple follow up process. Identify whether or not you will circle back with people via email, add them to your social networks or for priority prospects you might want to call them and schedule a time to connect.  
  • Schedule your connection time. Success leaves clues. Every successful salesperson that I know has a regimented time to make connection calls, follow up with potential opportunities and make follow up connection calls or contact of some form. What days of the week do you make calls or connect with leads and what block of time do you set aside to close the loop with potential prospects and partners.  
  • Give first and it will come back to you! We still connect with people and it’s all about them, what they need and why you need to purchase their products or services. We’ve all experienced this person…and how does it make you feel to be approached in this way? Don’t treat people in a way that you don’t want to be treated. Seek to help people first and the blessings will come back to you in one form or another.  
  • When you establish authentic relationships, conversions become a natural part of the process. The key is to be prepared. Do you have your sales process in place so that as you make connections and when/where appropriate, you have everything in place for someone to take action and close the deal? For example, if you book appointments, do you have an online calendar to immediately book a potential prospect. Or can someone sign up right now and make a payment using any mobile device to purchase your products and services.  
  • Follow up email sequence and social media connection: Be prepared for the next step before you even attend the event. Plan on a couple of emails that you will send to stay connected with the people you meet and or easily induct a person into one of your Social Network sites for consistent connection opportunities.


Try it for the next 30-days!

The key is to be ready to take any potential prospect through your sales process that you use to consistently close deals, so that when the opportunity presents itself (or you can create the opportunity), you are ready to convert a prospect into a sale on Any Given Business Day!

It’s difficult to keep up with the increasing demands and still stand out. Evaluating your career and looking for ways to remain competitive, in a time where professionals are competing with job seekers worldwide, can be challenging. Here are some simple ways you can improve your skills and become a more valuable asset to any organization.

Trait #1 – Teamwork and Collaboration

Nearly 75% of employers’ nationwide rate teamwork and collaboration as very important (University of Oregon Workplace Study). In fact in that very same study, 73% of the business leaders indicated that the soft skills (interpersonal skills) were more important than job related skills.  

It’s no coincidence that top performers have the ability to work well with teams and include ideas from others to get things done. To improve your skills in these areas try: 

  • Ask your manager if there is any training offered by the company.

In fact, Daniel Goleman, the expert that popularized Emotional Intelligence has found that EQ is just as important to career success as IQ. According to the University of Consulting Alliance, Goleman found 67% of all abilities that contribute to professional success are related to EI.

The Center for Creative Leadership did a study that showed managers sited 3 core reasons for employee job failure:

  • Difficulty in handling change
  • Inability to work well in a team environment
  • Poor interpersonal relations


EI can be summarized into five core elements; including:

  • Self-awareness: our ability to perceive our emotions and understand our tendencies to act in certain ways in given situations
  • Self regulation: our ability to understand the emotions of other people (what others are thinking and feeling
  • Motivation: our ability to use awareness of our emotions to stay flexible and direct our behavior positively and constructively
  • Empathy: our ability to use our awareness of our own emotions and emotions of others, putting yourself in someone else's shoes, to manage interactions successfully.
  • Social skills: ability to adapt to change, diplomatically resolve disagreements including increased negotiative skills and learning to read people's verbal and non-vebal cues.

Trait#3 – Leadership Skills

There are so many different aspects to leadership. Leaders are effective communicators, foster teamwork, listen to others, are proactive, come up with innovative ideas, collaborate well with others and bring different people together to achieve results, and much more.

I’m not asking for you to focus on everything to grow your leadership skills right now. Just ONE! Pick one leadership trait that you’re already pretty good at and start building upon that trait until you become known for that area of expertise. 

For example, if you create a document or template that anyone could use to solve a problem (that you and others have)…improve upon that tool then start connecting with others, find those with the same problem and share your results and solution with them. Pretty soon, you’ll become the “go-to person” for that specific area of expertise!

Continute to build upon that leadership trait, and then start adding in other leadership skills and growing your expertise. 

Trait #4 - Workplace Flexibility

This term “workplace flexibility” means different things to different people. It could be a flexible work schedule, ability to work from home, working from multiple locations, varied time off schedules or flexible work hours. 

There is also that perspective that to be a top performer, you must work a ton of hours and always be around to get things done. In fact, 65% of employees say that managers expect to reach them outside of the job (2015 Workplace Trends Study). 

Just because you work around the clock for the company, doesn’t make you a top performer. Employers will take advantage of employees whenever they can. Learn to set boundaries so that you can balance your personal and work priorities. Do a better job of communicating, being proactive or creative about alternatives to get things done and sharing specific availability outside of work to show commitment. 

Top performers can still have a life outside of work. They just learn to maximize the time during working hours to produce results.  

Trait #5 - Communicating with Different Cultures and Generations

The better you can learn to connect and communicate within a diverse workplace, the more effective you’ll be as an employee. When I say diversity, I do not mean the watered down version of “diversity of thought or ideas” (although important) I really mean people of different cultures, gender preference, age, multi-generations, disabilities and religion.

People that are able to effectively connect with and work well with people from different backgrounds and experiences, will thrive in a global marketplace where co-workers and customers are from around the world. 

For example, if you work with people from China, you’ll find that a typical work conversation starts out with making a personal connection. In China, people focus on getting to know you, your family and who you are before they get down to business.

No matter who you are, what position you hold, or where you come from; you need to improve your skill to work with others. Learning about the background, culture and history of the people you work with can educate you on why people approach or think about issues differently.
